Duties and Responsibilities

  1. Calendar & Schedule Management: Manage the Executive Director's complex calendar, prioritize urgent matters, schedule appointments, meetings, and travel arrangements ensuring optimal time management and organization.
  2. Document Management: Prepare, review, and organize important documents. Maintain and organise client files, ensuring all documents are accurate and up-to-date.
  3. Manage client billing, file management, and invoicing as required.
  4. Task Coordination: Support the Director with various special projects, deadlines,

Coordinate meetings, appointments, and court hearings for the directors and other ad hoc tasks as required.

Desired Experience and Qualifications

Education:

A certificate or diploma in Legal Secretary, Legal Studies, or a related field is preferred.

Skills and Competencies 

  1. 3 to 5+ years proven experience as a Personal Assistant or Legal Secretary or in a similar administrative role within a legal firm is an advantage.
  2. Flexible and able to work outside of normal office hours, as needed, to support the Directors schedule and business demands.
  3. Exceptional typing skills, with the ability to produce accurate documents quickly and efficiently.
  4. Excellent organizational and time-management skills (meeting deadlines timeously), with the ability to manage competing priorities.
  5. Experience working with Caselines and Court Online will be preferred.
  6. Ability to handle multiple priorities and work well under pressure.
  7. Strong communication skills, both verbal and written.
  8. Proficiency in MS Office Suite (Word, Excel, PowerPoint) and legal software platforms (preferred).
  9. Strong problem-solving skills and a proactive, solutions-oriented approach
  10. Strong attention to detail with the ability to anticipate needs and resolve issues proactively.
  11. Excellent interpersonal skills and the ability to work collaboratively with various teams.
  12. Maintaining ethical standards, especially concerning confidential matters, is essential.
  13. Drivers licence.
